Auto-submit: your finished expenses now submit themselves
When an expense already meets every requirement in your company policy, Dash.fi submits it for approval on your behalf, so finished work stops sitting in draft waiting for someone to press a button.

You buy something on a dash.fi card, attach the receipt, the expense is done. Then it sits in draft for three weeks, because pressing Submit is a separate deliberate act and nothing reminds you to do it. Across a team and a month that becomes a queue of finished expenses nobody has sent anywhere, and an accountant chasing people whose work was already complete.
What auto-submit does
Auto-submit watches your draft expenses. As soon as one meets every requirement your company policy asks for, Dash.fi submits it for approval in your name, and your normal approval routing takes it from there.
It's a per-user setting rather than something an admin decides for everyone, and it's on by default. If you'd rather press Submit yourself, you can turn it off in your expense settings.
Why it's on by default
The step it replaces wasn't doing any checking. By the time an expense is complete, your policy has already been applied to it, so pressing Submit adds delay without adding control. Having it on by default means the ordinary case, a finished expense that should go to an approver, moves without anyone thinking about it. The situations where you'd want to hold something back are the ones worth a deliberate decision, and you can still make one.
What happens after a charge lands
- You spend on your Dash.fi card and the transaction settles.
- You attach the receipt and code the expense, on your phone or on the web.
- Dash.fi checks the expense against your company policy.
- If something required is still blank, Dash.fi intelligently fills it where it safely can either using AI or the categories you chose for that merchant last time.
- If the expense now satisfies the policy, it's submitted for approval under your name and routed by your company's usual rules.
What it won't do
Most of the design here went into the situations where auto-submit stays out of the way.
It only acts on settled transactions. An authorisation isn't a final amount, because tips and partial captures change it afterwards, and pushing the wrong figure into approval and then into your ledger creates more work than waiting a day does.
It won't re-submit an expense an approver has sent back to you. Someone returned that expense because they wanted something changed, and putting it in front of them again 15 minutes later, unchanged, would only cycle.
It won't run unless one of your policy rules actually covers the expense. Where nothing matches, Dash.fi treats that as a gap in the policy rather than as permission.
Submitting is also not the same as approving. Auto-approval is a separate setting that stays off unless someone turns it on deliberately, so having auto-submit on can't result in spend clearing without a person seeing it.
When it can't submit
If auto-submit can't send something, it says so on the expense and names what's missing, whether that's a receipt, a category it couldn't confidently pick, or a card transaction it's still waiting to match. Fix what it names and it will try again on its own.
Taking something back
Anything auto-submit sent can be recalled to draft from the expense itself, which unlocks it for editing. Expenses you submitted yourself behave the way they always have.
One expense, start to finish
You take a client to lunch and pay on the card. Your phone buzzes as the charge lands, you photograph the receipt on the walk back, and you pick a category. That's all you do. The memo fills itself in, the expense meets your policy, and it goes to your manager without you opening the app again. Your accountant sees it in the approved queue that week instead of emailing you about it on the 30th.
Get started
Auto-submit is already running, so if your expenses are complete they're being submitted for you. The switch is in your expense settings if you'd rather do it by hand, and you can recall anything it has sent from the expense itself. Company administrators can activate Expense Management under Company > Products.
